1. Who we are and how to reach us
AI Psychometrics Inc. (“AI Psychometrics,” “we,” “us”) operates the adaptive hiring assessment platform covered by this Privacy Policy, including the candidate assessment experience, the customer portal at portal.ai-psychometrics.com, and ai-psychometrics.com (together, the “Service”). You can reach us about privacy at any time at privacy@ai-psychometrics.com.
2. The roles we play
The Service lets companies (“Customers”) invite job candidates (“Candidates”) to complete adaptive hiring assessments.
- For Candidate data, the Customer that invited the Candidate is the data controller (or equivalent under local law). AI Psychometrics processes that data on the Customer’s instructions as a data processor / service provider. Candidates with questions or requests about their data should contact the company that invited them; they may also contact us and we will refer the request to the relevant Customer.
- For Customer account data (recruiter and administrator accounts and usage information), AI Psychometrics is the data controller.
3. Data we collect
From Customers (recruiter and administrator users):
- Account data: name, work email address, sign-in credentials, company name, role.
- Usage and configuration data: assessment configurations, invitation lists, results dashboards and reports.
From Candidates:
- Contact data: the email address a Customer provides to invite the Candidate.
- Assessment data: responses given during the assessment, including free-text conversational answers, choice/selection data, timestamps, and resulting scores, reports, and assessment outcomes.
- Technical data: standard server logs (such as IP address, browser type, and access times) generated when using the Service, used for security and operation.
4. How we use personal data
- To provide, operate, and secure the Service, including delivering invitations, running adaptive assessments, scoring responses, and generating results and reports for the inviting Customer.
- To communicate with Customers about their accounts and the Service.
- To maintain, troubleshoot, and improve the Service (using aggregated or de-identified data where practicable).
- To comply with law and enforce our agreements.
We do not sell personal data. We do not use personal data for advertising.
5. AI processing of assessment responses
Assessment responses, including free-text answers, are processed by machine-learning models to administer the adaptive assessment and produce scores and reports. This processing is performed on behalf of the inviting Customer. Response processing involves third-party large-language-model API provider(s) acting as our subprocessors (see Section 7); the models and providers used may change as the Service evolves. Assessment results are decision-support information for the Customer; hiring decisions are made by the Customer, not by AI Psychometrics.
6. Cookies and similar technologies
The Service uses only essential cookies and similar storage required to operate - for example, session and authentication cookies that keep you signed in and keep the Service secure. We do not use analytics cookies, advertising cookies, or third-party trackers. You can block cookies in your browser settings, but essential cookies are required for sign-in to work.
7. Who processes data for us (subprocessors)
We use the following categories of service providers to operate the Service. They process personal data only on our instructions and under confidentiality obligations:
- Cloud hosting and infrastructure (assessment engine and customer portal hosting)
- Database and authentication
- Cache/session storage
- Transactional email delivery
- Large-language-model API processing of assessment responses: third-party large-language-model API provider(s)
8. International transfers
We and our subprocessors operate in multiple countries, including the United States and other regions where our providers host infrastructure. Personal data may be transferred to and processed in countries other than your own, which may have different data-protection laws. Where required, we rely on appropriate safeguards for such transfers.
9. Data retention
We retain personal data for as long as the relevant Customer account is active, as instructed by the Customer, or as needed to provide the Service. We may retain data longer where required by law or to resolve disputes. Customers may request deletion of assessment data; when a Customer account is terminated, we delete or de-identify associated personal data within a reasonable period, except where law requires retention.
10. Security
We use administrative, technical, and organizational measures appropriate to the sensitivity of the data, including encrypted transport (TLS), access controls, and secret management for credentials. No method of transmission or storage is completely secure; we work to protect personal data but cannot guarantee absolute security.
11. Your rights
Depending on where you live, you may have rights to access, correct, delete, port, or object to the processing of your personal data, and to withdraw consent where processing is based on consent.
- Candidates: contact the company that invited you. You may also contact us at privacy@ai-psychometrics.com and we will direct your request to the responsible Customer.
- Customers: contact us at privacy@ai-psychometrics.com to exercise rights over your account data.
You may also have the right to complain to your local data-protection authority.
12. Children
The Service is intended for adults in a hiring context and is not directed to anyone under 18. We do not knowingly collect personal data from minors.
13. Changes to this policy
We may update this policy from time to time. We will post the updated policy with a new “last updated” date and, for material changes, provide additional notice where appropriate.
